Methodology for Creation of Records

There are two sets of files. Set 1 designated with the file name: HEINABA.mrc  contains the Hein control number in the 001 field; Set 2 designated with the file name: HEINOCLC.mrc contains the OCLC control number in the 001 field.  Both sets of records were adapted from a file of bibliographic records the catalog of Northwestern University for the print versions of these materials.  The records were modified in such a way as to reflect the microform versions.  What follows are notes regarding specific elements in these records of which the user should be aware.  The notes are in MARC Field tag order

Control Numbers

[1]

Set 1 contains the HEIN control numbers as outlined below:

001      The number in this field represents the bibliographic ID of the record in the Northwestern catalog.  When paired with the value in the 003 field, the string in the 001 field should be unique.

003      The value is HEIN

024      the ID number in the 001 field and the value in the 003 field are combined and stored here so they can be used as a match point to overlay updates.

Set 2 contains the OCLC control numbers as outlined below:

001      This field contains the OCLC control number for the microfiche version of the title.

003      The value is OCoLC

035      The OCLC control number is also stored in this field in the form: (OCoLC)########  so they can be used as a match point to overlay updates.

[1] There are various 035 fields included in the records.  The 035 fields beginning with a 3 alpha-character sequence followed by a series of numbers,  represents an older control number from the Northwestern catalog.  If you loaded the earlier versions of  the  MARC records that were distributed by Hein, you will need to match on these numbers so that the records will overlay correctly.  Even so, all of the records will not overlay due to changes made in the records between the two extracts.

Other Fields

040      EWL, the OCLC symbol for the Professional Center Library has been added as modifier of these records.

050      These LC Call number have been retained in the records for information only.

090      These LC Call number have been retained in the records for information only.

099      The LC-like call number that actually appears on all of the microfiche in the ABA Archive is stored in this field.   The number should index the same as a standard LC call number.

5XX      All notes were retained unless they were deemed Northwestern-centric.

533      This field is the same for all records and was constructed based on recommendations from the AALL Technical Services SIS Task Group on Vendor Cataloging.  Note that the Collection title is in $n and not treated as a series and put in $f

6XX    These fields were retained unchanged.

7XX    These fields were retained unchanged except as noted below:

730      An added entry for the American Bar Association archive publications was added to all records.

776      Because these records were all derived from MARC bibliographic records for the print versions a 776 field for the print version was added to each record.  Date from other areas of the record was mapped to appropriate subfields of the 776 field.  OCLC numbers, Northwestern University and Hein ID numbers were added  to facilitate matching.

Based on the experiences of the Professional Center Library, the file contains materials for shipments 1 to 34 which was shipped in September 2009.  The file may also contain records for future shipments.  These notes will be updated as future shipments are received and processed.

Because of the varied ways that libraries load bibliographic records into their online systems it is virtually impossible to have a “one size fits all” set of records.  If you are having difficulties working with these records, I will be happy to offer any help I can if you are an Ex Libris Voyager customer.  For other systems, it is suggested that you try contacting your system user group for help, e.g. For Innovative systems it is the Innovative Law Users Group.

As shipments of the ABA archive are released, updated record sets will be made available.

Customization

No customization options are available from the vendor.  The records are distributed "as is."

Additional Comments

It is highly likely that there are records in this file for materials that have not yet been released as part of the collection.  By agreement, Hein has a three year embargo on ABA materials.  These records were originally extracted from the Northwestern catalog during Fall 2008.  Shipment 34 contains materials from 2006.
