Methodology for Creation of Records

Records were adapted from a file of MARC bibliographic records for the print versions of these materials extracted from the online catalog of Northwestern University.  The records were modified to convert them to MARC bibliographic records for the microform versions.  The following are notes regarding specific fields in these records of which the user should be aware.  The notes are in MARC Field tag order

001      The number in this field was originally the bibliographic ID of the record in the Northwestern catalog.  However, when paired with the value in the 003 field, the string in the 001 field should be unique.

003      For all records the value is HEIN

024      The ID number in the 001 field and the value in the 003 field are combined and stored here so they can be used as a match point to overlay updates.

040      EWL, the OCLC symbol for the Professional Center Library has been added as modifier of these records.

050      These LC Call number have been retained in the records for information only.

090      These LC Call number have been retained in the records for information only.

099      The LC-like call number that actually appears on all of the microfiche in the ABA Archive is stored in this field.   The number should index the same as a standard LC call number.

5XX      All notes were retained unless they were deemed Northwestern-centric.

533      This field is the same for all records and was constructed based on recommendations from the AALL Technical Services SIS Task Group on Vendor Cataloging.  Note that the Collection title is in $n and not treated as a series and put in $f

6XX    These fields were retained unchanged.

7XX    These fields were retained unchanged except as noted below:

730      An added entry for the American Bar Association archive publications was added to all records.

776      Because these records were all derived from MARC bibliographic records for the print versions a 776 field for the print version was added to each record.  Date from other areas of the record was mapped to appropriate subfields of the 776 field.  OCLC numbers, Northwestern University and Hein ID numbers were added  to facilitate matching.

It is suggested that the 024 field be used as the matchpoint for overlaying updated records rather than the 035 field, unless the local system Record ID number can be used.

Based on the experiences of the Professional Center Library, the file contains materials for shipments 1 to 34 which was shipped in September 2009.  The file may also contain records for future shipments.  These notes will be updated as future shipments are received and processed.

Customization

No customization options are available from the vendor.  The records are distributed "as is."
